Tour Booking and Cancellation Policy

Please take the time to read and understand the conditions of booking set out below prior to booking a trip with us. We strongly recommend that you also read the Essential Trip Information relating to your trip prior to booking to ensure that you understand the itinerary, style and physical demands of the trip you are undertaking.

Tour Booking and Payment procedure:

  1. 20% advance to book the tour cost to initiate the hotel bookings and other arrangements.
  2. 25% advance payment of the total tour cost before 30 days from the arrival date.
  3. 25% advance before 1 week from date of starting the tour.
  4. 30% payment on arrival.

Payment options as per the nos. of days of the trip:

  1. Less than 30 Days: To avoid bank processing charges every time, the guest can pay 50% advance one time to finalize the trip and rest 50% at the time of arrival. Especially if the travel date is around 30 days from the date of finalizing the trip.
  2. Trip during 30 – 60 Day: In case if the trip starts after 30 - 60 days from the date of finalizing the tour, the guest can pay 40% ( to avoid 1st and 2nd transfer) and 40% before 30 days from the date of trip ( once all the hotels and other arrangements are made) and 20% on arrival.
  3. Trip after 60 Days: In case the trip starts after 60 days from the date of finalizing the trip. The Guest can pay 30% initial advance payment rest 50% before 30 days from the date of arrival (once all the hotels and other arrangements are made)

Note: For air tickets on apex fare the payment has to be made 100% in advance as the tickets has to be purchased immediately from the concerned airline.

Policy Regarding Cancellation / NO SHOW / EARLY DEPARTURE

In case of cancellation of tour/travel services due to any avoidable/unavoidable reason/s we must be informed in writing. Cancellation charges would be effective from the date we receive letter in writing and cancellation charges would be as follows:

  1. 45 days prior to arrival - 10% of the tour/service cost.
  2. 15 days prior to arrival - 20% of the tour/service cost.
  3. 07 days prior to arrival - 30% of the tour/service cost.
  4. 03 Days prior to arrival: 40% of the tour/service cost.
  5. 48 hours prior to arrival - 60% of the tour/service cost.

Less than 48 hours or no show: 75% of the tour cost/service cost.

In case of special train journey and peak season hotel bookings a separate cancellation policy is applicable (which would be advised as and when required).In case you cancel the trip after commencement refund would be restricted to a limited amount that too would depend on the amount that we would be able to recover from the hoteliers we patronize. For unused hotel accommodation, chartered transportation and missed meals etc. we do not bear any responsibility to refund.

*Credit Card Payment:

Recently in India, the card establishments are not accepting the authorization of payment from overseas by mail or fax approval. The credit card payment accepted if the credit card holder is present at the time of buying product/services at the particular location.

For the due balance it would be advisable to make the payment by cash in USD, if you are making payment by credit card there will be additional 3 % to 4 % on the payment ( subject to the banker of the credit card) made by the credit card, as the same will be applicable on us.

Flight ticket Cancellation:

There will be USD $ 10 per ticket before cancellation before 4 hours from the time of travel before 4 hours or No Show: No Refund.In course of Apex Fare, especially from airlines like: Deccan, Spice Jet, King Fisher, Go Air, subject to the refund policy of particular airline for the particular air booking.

Refund

In regard to refund of unused/unutilized services (which are paid for and cancelled in advance) the refund amount would be worked out on the basis of cancellation policy as described above and the money would be accordingly refunded to the person who has made the payment to us. Please note that the refund process may take 2-4 weeks due to banking procedures. If the refund is made to the credit card amount or to bank account, the bank charges would be debited from the refund amount.

Our Liabilities & Limitations

Please note that after the finalization of the tour/service cost, if there were any hikes in entrance fees of monuments/museums, taxes, fuel cost or guide charges by the Govt. of India, the same would be charged as extra.

ITS Holidays Service act only in the capacity of agent for the hotels, airlines, transporters, railways & contractors providing other services & all exchange orders, receipts, contracts & tickets issued by us are issued subject to terms & conditions under which these services are provided by them. All itineraries are sample itineraries, intended to give you a general idea of the likely trip schedule. Numerous factors such as weather, road conditions, the physical ability of the participants etc. may dictate itinerary changes either before the tour or while on the trail. We reserve the right to change any schedule in the interest of the trip participants' safety, comfort & general well being.

Our rates are based on the prevailing rates as negotiated by us with the hotels, airlines etc. Hotels and Airlines retain the right to modify the rates without notice. In case of such changes the rates quoted before the modification, can be changed by us according to the modifications by hotels or airlines. All hotel bookings are based on usual check in and check out time of the hotels until unless indicated in the itinerary.

We shall not be responsible for any delays & alterations in the programme or expenses incurred - directly or indirectly - due to natural hazards, flight cancellations, accident, breakdown of machinery or equipments, breakdown of transport, weather, sickness, landslides, political closures or any untoward incidents.

We shall not be responsible for any loss, injury or damage to person, property, or otherwise in connection with any accommodation, transportation or other services, resulting - directly or indirectly - from any act of GOD, dangers, fire, accident, breakdown in machinery or equipment, breakdown of transport, wars, civil disturbances, strikes, riots, thefts, pilferages, epidemics, medical or custom department regulations, defaults, or any other causes beyond our control.

We do not have any insurance policy covering the expenses for accident, sickness, loss due to theft, or any other reasons. Visitors are advised to seek such insurance arrangements in their home country. All baggage & personal property/s at all times are at the client's risk.

Photos and marketing

You consent to us using images of you taken during the trip for advertising and promotional purposes in any medium we choose. You grant us a perpetual, royalty-free, worldwide, irrevocable licence to use such images for publicity and promotional purposes.

Optional activities

Optional activities not included in the trip price do not form part of the trip or this contract. You accept that any assistance given by your group leader or local representative in arranging optional activities does not render us liable for them in any way. The contract for the provision of that activity will be between you and activity provider.
